Record organization guide
What records show that additional repair work was discussed or approved?
Useful records can include a revised written estimate, signed or electronic work order, text or email exchange, and a dated note of a phone conversation. Whether a record is legally sufficient depends on the facts and local law.
What should a saved note contain?
Record the date and time, who participated, what work or amount was discussed, and what you understood the next step to be. Label it as a user-entered note rather than presenting it as a shop-authored document.
Why keep every version?
Customer portals and message threads may change. Saving the version you actually saw gives you a stable comparison point, but it is not notarization or a trusted timestamp.
California’s Bureau of Automotive Repair publishes detailed guidance about estimates, authorization, revised work orders, and invoices. It applies in its jurisdiction and should not be treated as a nationwide rule. See Write It Right.
